The British Jamaican Chamber of Commerce (“the Chamber”, “we”, “us” or “our”) is committed to protecting your privacy and handling your personal data openly and responsibly. This policy explains what personal information we collect when you visit britjacc.com or engage with us, how and why we use it, who we share it with, and the rights you have under UK data protection law, namely the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
The British Jamaican Chamber of Commerce is the data controller responsible for your personal data. We are an independent, member-led organisation working to promote trade and investment between the United Kingdom and Jamaica.
If you have any questions about this policy or how we handle your information, please contact us at info@britjacc.com.
2. The personal data we collect
Information you give us. We collect the information you choose to provide when you interact with us, including:
- Enquiries – when you use our contact form, your name, organisation, email address and the content of your message.
- Membership applications – your name, business name and details, email address, telephone number (if you provide one), information about your UK–Jamaica business interests and the support you are seeking, and your communication preferences.
- Newsletter sign-up – your email address.
- Correspondence – any information you include when you email or otherwise communicate with us.
Providing this information is voluntary; however, if you choose not to provide certain details, we may be unable to respond to your enquiry or process your membership application.
Information we collect automatically. When you visit our website, we collect limited technical information through our privacy-friendly analytics, such as your (anonymised) IP address, browser and device type, the pages you view and how you navigate the site. We do not use tracking cookies to do this. See the Cookies and analytics section below.
We do not intentionally collect special category (sensitive) personal data, and we ask that you do not send us such information unless it is necessary.
3. How and why we use your data
We only use your personal data where the law allows us to. The table below sets out our purposes and the lawful basis we rely on under the UK GDPR.
| Why we use your data | Lawful basis |
|---|---|
| Respond to enquiries and provide the information you request | Legitimate interests; steps prior to entering a contract |
| Process and administer membership applications and membership | Performance of a contract; legitimate interests |
| Send newsletters, event invitations and updates | Consent (which you can withdraw at any time) |
| Understand and improve how our website is used (privacy-friendly analytics) | Legitimate interests |
| Keep proper records and meet legal, tax and accounting obligations | Legal obligation; legitimate interests |
| Protect our website and forms from spam and misuse | Legitimate interests |
Where we rely on consent, you can withdraw it at any time by contacting us or using the unsubscribe link in our emails. Where we rely on legitimate interests, we have weighed those interests against your rights and freedoms, and you can ask us for more information about that assessment at any time.
4. Cookies and analytics
Cookies are small text files placed on your device when you visit a website. We keep our use of cookies to a minimum and only use those that are necessary for the site to function.
| Cookie / provider | Purpose | Type | Typical duration |
|---|---|---|---|
| WordPress | Maintains your session and basic site functionality | Essential | Session to 1 year |
| Form & anti-spam | Helps our forms work and reduces spam submissions | Functional | Session |
Strictly necessary cookies are required for the website to work and do not need your consent. For website statistics we use Matomo, a privacy-friendly analytics tool hosted on our own website and configured to run without cookies. It does not store information on your device, your IP address is anonymised, and the data is not shared with third parties or used to identify you personally. Because our analytics are cookieless and we set no other non-essential cookies, we do not need to display a cookie consent banner. You can still manage or block cookies through your browser settings at any time.
5. Sharing your data
We never sell your personal data. We share it only in limited circumstances:
- Service providers. We use trusted third parties who help us operate the Chamber and website – for example website hosting and email delivery. They process data on our instructions and are bound by confidentiality and data protection obligations.
- Legal and regulatory. We may disclose data where we are required to do so by law, or to establish, exercise or defend our legal rights.
We will not share your information with third parties for their own marketing purposes without your consent.
6. International data transfers
As an organisation connecting the United Kingdom and Jamaica, your information may be transferred to, stored in, or accessed from countries outside the UK – including Jamaica, and any countries where our service providers operate. Where we transfer personal data outside the UK, we take steps to ensure it is protected by appropriate safeguards, such as UK adequacy regulations or the UK International Data Transfer Agreement (or Addendum to the EU Standard Contractual Clauses).
7. How long we keep your data
- Enquiries: normally up to 24 months after our last contact, unless you go on to become a member.
- Membership records: for the duration of your membership and up to 6 years afterwards, to meet legal, tax and accounting requirements.
- Newsletter: until you unsubscribe.
- Website analytics: retained in aggregate for as long as needed to understand site trends.
When we no longer need your data, we securely delete or anonymise it.
8. Your rights
Under UK data protection law you have the right to: be informed about how your data is used; access a copy of your data; have inaccurate data corrected; have your data erased; restrict or object to processing; data portability; and, where we rely on consent, to withdraw it at any time. You also have rights in relation to automated decision-making, although we do not make decisions about you by solely automated means.
To exercise any of these rights, contact us at info@britjacc.com. We will respond within one month. Exercising your rights is normally free of charge.
9. How we protect your data
We use appropriate technical and organisational measures to keep your personal data secure, including encrypted (HTTPS) connections and restricting access to those who need it. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
10. Children’s privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal data from children under the age of 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
11. Third-party links
Our website may contain links to other websites, including government and partner organisations. We are not responsible for the privacy practices or content of those websites, and we encourage you to read their privacy policies.
12. Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date at the top of this page, and where changes are significant we will take reasonable steps to bring them to your attention.
13. How to contact us
If you have any questions, requests or concerns about this policy or your personal data, please contact us at info@britjacc.com.
You also have the right to lodge a complaint with the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113. We would, however, appreciate the chance to address your concerns before you approach the ICO, so please do contact us first.
